Making an appointment

Age groups

We provide support for individuals aged 18 years and over.

Information we will require

When booking an initial appointment, you will be asked the following information:

  • Brief information regarding your presenting concern
  • Date of birth and contact information
  • Medicare referral, if you have one
After you are booked in

Once your initial appointment is booked in, you will then receive a welcome email. This email outlines your appointment time, date and location, and what to keep in mind for your first appointment. You will also be sent an SMS reminder 48 hours before your first appointment.

After your initial appointment is completed, a proposed treatment plan will be discussed between you and your psychologist and the frequency required for subsequent appointments. Alternatively, you will be provided with some external recommendations if the referral concern is an area we are not able to offer support for.

Confirming appointments 24 hours before appointment start time

To help us better serve the community, please confirm your appointment as soon as possible. If you are unable to attend, please let us know at least 24 hours beforehand, as this appointment time can then be offered to another client who is waiting for an appointment. If sessions are not confirmed 24 hours before the appointment the session will be cancelled and offered to another client in need of an appointment. Appointments can be confirmed via reply SMS to the appointment reminder.

Cancelling or rescheduling an appointment

To help limit the impact on other clients waiting for appointments and our psychologist’s time spent preparing for sessions, we ask that client’s please confirm their appointment at least 24 hours before the session start time. If a client cancels their appointment within 24 hours of the start time a cancellation fee of 50% of the session cost will be payable by the client. Cancellations received within 12 hours of the start time of an appointment will incur a cancellation fee of 100% of the session cost. Cancellation fees do not attract a medicare rebate and therefore is an out of pocket cost to the client.

Not attending/short notice cancelling appointment

If a client fails to attend an appointment or confirms an appointment time and then does not attend, the total appointment cost is payable by the client.


We understand that there may be times you may not be able to attend an appointment due to an emergency or illness and need to cancel with less than 24 hours notice. If this is the case, please provide as much notice as possible and each individual circumstance will be discussed further.

Costs of an appointment

Session cost

Initial intake $275 (Duration 50 minutes)
Per subsequent session $235 (Duration 50 minutes)

Medicare rebate

We provide psychological treatment under the Australian Government’s Better Access to Mental Health Care initiative.

You may be able to access medicare rebates of $93.35 per session, for both in person or Telehealth sessions, if you are eligible for a Mental Health Care Plan (MHCP) referral from your GP. This leaves an out-of-pocket expense or “gap” fee of $181.65 for initial intake and $141.65 for all follow-up sessions.

Rebates will be processed after each session and you will receive your rebate shortly after in your nominated bank account.

Clients are welcome to attend sessions without a GP referral, it is optional and something to consider in regard to finances. If attending without a MHCP, the session cost is an out of pocket expense to the client and payable at the time of appointment.

Bulk Billing

Helping Hearts Psychology is not a bulk-billing practice.

NDIS – self managed only

Helping Hearts is able to provide psychology services to clients who are NDIS self-managed only. As we are not an NDIS registered practice we are not able to offer services to those who are plan or agency managed for their NDIS funding.

Other information

Third party

Helping Hearts Psychology does not see clients through third parties including (Workcover, TAC, Victims of Crime, ATAPS, Employee Assistance Programs, or other third party organisations).

Court reporting

Please note we do not write court reports.

Requests for letters

We don’t typically write letters or provide written correspondence, although if there are circumstances in which this is required, a fee of $235 per hour is charged. Please note this is not rebatable through medicare and is an out of pocket expense.
